Records Management (RM) plays a vital role as part of the configuration management for a project. RM is the documentation of an event.

Events can include official decisions, change requests, the hiring of an employee, medical records, etc. A record records an event while a document, which may become a record, provides guidance.

The Records process should be established in the configuration management plan or applicable record management procedures. The stages in a record's life cycle is creation, maintenance and use, and disposition.

RM Systems are an important step in Records management that include storing, accessing, maintaining, and archiving Records. A RM System may consist of several tiers of networked equipment that allow storage, control, access, and archiving of Records.

NARA is the nation's record keeping agency.

RM falls under Federal law and as deemed necessary by the business need. Federal Records Act, 44 U.S.C. §§ 3101 et seq., as codified in 36 CFR 1220-1238 defines record management for federal agencies.

Federal records may be:

  • Documentary materials, regardless of physical form or characteristics;
  • Made or received under Federal law;
  • Preserved, or appropriate for preservation.
